Property and HOA management IT in Dallas-Fort Worth

The resident has a receipt. Your ledger says she never paid.

Most IT companies say “call the portal.” The portal blames the payment service. The payment service blames the bank. We trace it to the end.

Rent, work orders, owner statements and board access, across buildings you don’t control, with wiring that was never meant for business.

  • Board members come and go.

The old board’s access ends. The new board gets theirs.

  • The payment service and the bank.

We trace the handoff to the platform.

  • One payment, four records.

We match it across all four.

What we check first, from the portal to the ledger.

One payment, four records.

Portal, payment service, bank and platform may each name the same payment differently. We match it across all four.

The repair is finished. The work order isn’t.

A dispatch service like Property Meld holds the repair photos and status. If they don’t sync back, your office still sees an open work order on a finished job.

Ask what the export holds.

Before you switch platforms, ask what the export contains and how long the old system stays readable.

What comes back first when the system goes down?

Decide whether the ledger, owner statements or field photos come back first. We keep backups isolated and test the restore.

Board members come and go.

HOA board members get access to records, bank portals and email. When a board turns over, we make sure the old board’s access ends and the new board gets theirs.

Screening reports and broker records

The applicant moved on months ago. Their screening report didn’t, and an ex-employee’s login can still open it.

Four rules, one by one
  • Screening reports

Under the FCRA, a tenant background check is a consumer report. The FTC says you need a permissible purpose to get one, you use it only for housing, and you dispose of it securely when you’re done.

  • Disposal

The FTC Disposal Rule covers the report and anything taken from it: the PDF in an inbox, the export on a laptop. We set up the vendor’s deletion options and go looking for the copies.

  • Who can open them

Shared logins and access that outlived an employee turn an account problem into a privacy one. We lock both down.

  • Broker records

If your company is a licensed broker, TREC expects transaction and trust-account records kept at least four years. That includes the ones in the platform you’re leaving.

New board members get the access they need.

AI in property management

2025About $47,000 back from invoices that didn’t match the work

The first audit found about $83,000 in disputed charges. Repeat invoice problems are down.

How it worked

A company managing about 2,000 rental units watched repair costs climb. Accounting paid hundreds of vendor invoices a month and almost never checked each billed item against the work that was actually approved. Who has time? We connected maintenance work orders, purchase approvals, vendor agreements, invoices and accounting records. AI read the invoice descriptions, and matching rules caught duplicate charges, unexpected labor rates and items that weren’t part of the approved work. The first historical audit found about $83,000 in disputed charges. After vendors reviewed them, about $47,000 was credited or refunded. Ongoing reviews have cut repeat invoice problems.
