Title and escrow IT in Dallas-Fort Worth

Closing day. The wire goes out at nine, to the right account.

Qualia · RamQuest · E-Closing

Fake wiring instructions work when your email is easy to fake. Most IT companies leave it that way.

When the vendor won’t call you back, we make that call.

An escrow officer slides closing papers across the table to a happy young couple holding house keys while her monitor on the credenza faces her, and in his breakfast nook at home Jack, headset on, checks the title company's email records on a laptop angled toward him. • Closing day keeps running.

We look after the systems behind it.

  • Email that is hard to fake.

One believable email is all a bad wire takes.

  • We make that call.

When the vendor won’t call you back.

ALTA, TDI and the wire

Your lender may ask for an ALTA assessment letter. We document the technical safeguards.

ALTA doesn’t issue certifications. Third-party assessors write that letter.

Four rules, one by one
  • Information security

ALTA Best Practices 5.0, Pillar 3: written security and privacy plans, multi-factor sign-in where available, password standards. We set it up and write it down.

  • Wire fraud

We harden your email against impersonation, so a fake payoff instruction is harder to send.

  • Record retention

Three years for escrow accounting, fifteen for evidence of insurability, policies indefinitely (TDI Rule P-32). A blanket “we keep seven years” falls eight years short.

  • Remote closings

A Texas online notary keeps the electronic record, video and audio included, at least five years, plus a backup (Gov. Code 406.108). Where do last year’s recordings live?

What we check first before the next closing.

Sent for recording is not recorded.

A county can reject a document for reasons it sets and send it back. We watch for acknowledgments and rejections, and keep the recorded instrument with the file.

How many portals share one failure?

Title production, e-recording, remote notarization, wire verification, lender portals. If they share one sign-in, one administrator or one connection, they all go at once.

Offboarding past the inbox.

Closing a departed closer’s email doesn’t close the portals. We check with whoever runs each one and tell you what we find.

Your software may be changing hands.

Switching IT companies before the next wire? How we take over

AI at a title company

2026Every closing checked, not just a sample

About $57,000 in payment or accounting exceptions flagged in the first quarter. Only verified errors were corrected.

How it worked

A regional title agency audited a sample of completed closings, because checking every file by hand cost too much. We set up automated post-closing checks that compare settlement statements, recorded documents, approved disbursements, bank records and the agency’s own closing requirements. AI reads the differences between documents. The money math is plain calculation, with no AI guessing at numbers. Anything unresolved goes to a qualified employee. The checks now cover every one of about 400 closing files a month. In the first quarter they flagged about $57,000 in payment or accounting exceptions to investigate. Only verified errors were corrected.

How we build it

Closing portals need more than a password.
