Med spa IT in Dallas-Fort Worth

3 p.m. appointment. Her photos went straight to her chart. Most IT companies never ask where the Camera app keeps copies.

PatientNow · EnvisionNow · Hydrafacial Syndeo

We test where treatment photos land, including copies outside the chart.

We set up the devices used for treatment photos. When the photo app and the chart disagree, we trace it to the end.

  • We test where each photo lands.

    Including copies outside the chart.

  • The photo app and the chart.

We trace it to the end.

  • A second administrator.

So one person doesn’t hold every key.

What we check first, from the clinical app to the camera roll.

The photo left the chart.

A Camera app photo can end up in the camera roll, an iCloud or Google Photos library, a messaging app and a phone backup. Where the clinical app supports direct capture, we set it up so the right way is also the easy way.

One person holds every key.

For the systems we manage, we set up individual logins and a second administrator where the vendor allows it, and plan for same-day access removal when you tell us somebody has left. The keys in question: spa software, payments, email, the website, the photo app, financing, every device cloud.

The Syndeo is on your Wi-Fi too.

Devices like the Hydrafacial Syndeo connect over Wi-Fi for usage tracking, diagnostics and updates. We build and test a separate network for them, after the device vendor confirms calibration and updates still work.

Can you leave with your records?

Ask the vendor where your records are stored, whether it can restore one deleted record, and whether you can leave with them readable. PatientNow tells Essentials and EnvisionNow customers to export their data before the contract ends. We ask the vendor to put the answers in writing.

Patient records, HIPAA and Texas privacy

The photo can land in the chart and still sit on somebody’s phone. We check who can get in, and where each treatment photo really ends up.

HIPAA covers practices that send standard electronic health transactions. Texas patient-record law reaches further. We sign a Business Associate Agreement before we touch anything.

Four rules, one by one
  • Guest access

Guest Wi-Fi belongs on its own network. We test that it can’t reach the computers that hold patient records.

  • Documentation and recovery

We write down what runs where, who has access and how it comes back. Then we test the restore.

  • Daily safeguards

A full SOC watches your computers 24/7/365. Multi-factor sign-in, email filtering, patching, and backups ransomware can’t reach.

  • Audits

We do your yearly security risk analysis and keep the IT evidence ready: who has access, multi-factor, encryption, backups and restore tests, patching, the incident log. When an auditor or your insurer asks the IT questions, we answer them or join the call. We help with the IT policies and staff training too.

The photo goes in the chart, not the camera roll.

Switching IT companies between treatments? How we take over

AI at a med spa

2026About 180 missed calls a month, now about 60 visits

About 75 of those calls now become bookings. Anything clinical goes straight to staff.

How it worked

A two-location med spa with a great reputation lost business every time the front desk got slammed. New clients call after hours asking about Botox pricing, consults, laser services and weekend openings. An AI receptionist out of the box knows none of that. We connected one to the spa’s Zenoti scheduling and phone system and loaded it with the spa’s own approved service descriptions, so it could answer real questions and book eligible appointments. Anything clinical goes straight to staff. Of about 180 missed calls a month, about 75 now become bookings and about 60 become completed visits.
